Annual Community Garage Sale

The Arbor Ridge Annual Community Garage Sale is coming up.

Large signage will be placed at main entrances and the event will be advertised on Craig’s List.

Date: Saturday, June 11th, 2016

Time: 9:00 a.m. – 2:00 p.m.

**Please note: If you would like you, may have your home garage sale continue past 2:00 p.m. and on Sunday, June 12th.

Here are some tips to have a successful garage sale:

  • Collect the clutter around your home.
  • Have a plan — a successful garage sale does not happen without organization. At least a week before the sale go through your home from top to bottom and clear out clutter. At least 2-3 days before the sale, take an afternoon to price everything and organize it. And then the day before getting the cash on hand to manage your cash drawer (for example: a roll of pennies, roll of nickels, roll of dimes, roll of quarters, 20 dollars in ones and 20 dollars in fives). Do not wait until the last minute to pull off a garage sale 🙂
  • Clearly mark your prices.
  • Price things to sell.
  • Mark things down as the time goes and closing time approaches.

I. Meeting Called to Order

  • 6:45 pm

II. Meeting Minutes

  • November 11, 2015 minutes were motioned for approval; Board passed the minutes unanimously. Motion carried.

III. Treasure’s Report

  • Mike and Lynda gave the following report: irrigation was a large expense last year. Reserves for Cottages is looking low.

IV. Committee Report

  • Neighborhood Watch – Lisa Walker reported: Still the same. Getting updates from sheriffs department and CWN. Suspicious individual going door-to-door talking about alarm systems. Another suspicious man is walking around asking homeowners if they want to sell their vehicles.
  • Social/Newsletter Committee – Lisa Walker reported: Newsletter coming out in March. Easter Egg Hunt March 26th – doing 3000 eggs this year (last year was 2900). Requesting $850 for candy/crafts/supplies. Unused monies will rollover to July 4th hot dog stand. Fourth of July and National Night out: working closely with CWN – may take the lead on some responsibilities.
  • Landscape – Tom Wilkinson reported: Master Landscape Committee gaining more traction. Proposal for Showplace to maintain a couple common areas on NW Keno and NW Tucson in the Master Collection. Lights on monument (West Union and Laidlaw) need adjustments/replacements. 15 scheduled trees came out – 11 came in. Tom feels these trees will be great for the neighborhood. Lawn restoration needs to happen on places where trees were removed. Other areas will take on ground cover which will be easier to maintain – in particular the triangle areas. There are upwards of 70 sprinkler heads that can be capped now – which will save on irrigation expenses. There are homeowner wood fences that need to be maintained better (e.g. on Tucson St). Cable boxes have not been correctly capped/closed. Zen briefly discussed the beaver dams in the green spaces. In general, beaver activity is steadily growing but areas are still in good shape.
  • Architectural – Board reported: Only one pending ARC Request. It was discussed and approved.

V. Management Report

Administration

  • Homeowner Correspondence (please see management report on file, for additional information).  Homeowner correspondences were discussed regarding waived yard maintenance reminders, and overdue dues.  It was discussed, that homeowners that wish to have a fine waived are asked to present themselves in front of the board in person to discuss further.
  • Briefly discussed. Board is granting an extension for yard compliance issues till May when the weather improves.

Financial

  • Delinquency Report / Collection Update
    • Not Discussed

VI. Unfinished Business

  • State Farm Auto Claim – Adam Thayne with Panic Law, Attorney Presentation
    • Discussed the incident regarding his client and damages that occurred within common areas and homeowner property. A plea was made on behalf of his client for forgiveness in exchange of a particular charge being dismissed. No decisions were made at this time. Another executive meeting will be called in the future to discuss the matter.

VII. New Business

  1. 2016 Work Plan
  2. 2016 Reserve Study
    1. Cottage Collection running low – $15815. MMA $18000, $2307, $48000 for tree removal project, etc.
  3. Landscape Resolution
    1. Reviewed landscape resolution. Feedback was given. Nothing actionable was made at this time.
  4. Showplace Landscape Proposals
    1. Several contract/proposals were presented to maintain areas in the community.
      1. Motion to approve $2390 to repair areas due to tree removal project. Motion passed.
      2. Motion to approve $2015 to replace 31 arborvitae in common areas. Motion passed.
      3. Motion to approve $3390 to treat common lawns with cranefly control and combat moss, with the direction of the landscape committee. Motion passed.
      4. Motion to approve $4000 for aerating and overseeding in Cottage Homes and Streetscape. Motion passed.
      5. Motion to approve concrete maintenance along Laidlaw, not to exceed $1850. Motion passed.

Announcing our next upcoming Arbor Ridge HOA Social Event.

Time – Easter Egg Hunt will begin around 10 am and last through 12 noon

All children are welcome (There will be 3 zones: 0-3 years, 4 – 7 years and 8 + years)

Volunteers Please Arrive @ 8 am

There will be raffle tickets, give away toys and a craft for the children to take home to make.

Children, please bring a Easter Basket, Bucket or bag to collect your eggs with!

    2. Motion to increase assessments for the Cottage collection by $60. Motion passed.

  • Several homeowners in attendance discussed the need for yard maintenance, low hanging trees, etc., and what the Board is doing about it.

IV. Committee Report

  • Neighborhood Watch – Lisa Walker reported: Working with Ken with the Master Landscaping Committee
  • Social/Newsletter Committee – Lisa Walker reported: Neighborhood Watch program going well. Email correspondence is about 350 emails which get sent out frequently. August 4th at 6pm is Nat’l Night Out at John Marty Park – potluck, so bring some food
  • Landscape – Tom Wilkinson reported: The arborvitae maintenance issue is going to get worse. May want to consider a plan for maintaining them over time. Showplace replacing some trees with shrubs. Some of the triangle areas still have irrigation and can potentially be capped
  • Architectural – Board reported: Mike Farris and the Board are busy reviewing the ARC requests
  • Bethany Governance Series A brief overview of the initial meetings was discussed, the purpose of those meetings, etc

V. Management Report

Administration

  • Several items were discussed that did not need any action from the Board (car crash on Scottsdale, car break-in, street parking issues, barking dogs, yard maintenance, etc.).
  • Items that did require board action:
    1. Clutter along side of home – would like the $75 violation removed. Motion on the floor to waive the fee. Motion carried.
    2. Homeowner requesting fine of $150 be waived. Homeowner has had multiple violations. In order to be consistent, motion to waive the fee was denied by the board.
    3. In regards to common area shrubs being watered by homeowners own irrigation, motion on the floor to credit homeowner for use of their water. Motion carried

Financial

  • Delinquency Report/Collection Update: Report is getting better. Homeowner on Arizona required to list the home on MLS

VI. Unfinished Business

  1. Engineer Annual Review Report
    Columbia Geotechnical finished their annual review. No change in settling along walk way. Water flow is draining well. Recommends resetting boulders from the waist up. Children playing on the rock walls poses a hazard. Concern of a hot tub along the retaining wall.
  2. Irrigation Replacement / Water System
    Maintenance cost of the irrigation system in the Cottage Collection is increasing year-over-year. If the Board decides to do it, it was discussed to implement it in phases so homeowners wouldn’t incur a special assessment amount. Showplace quoted ~$73000

VII. New Business

  1. 2016 Reserve Study
    The Cottage Collection funding came back as “fair”. Master Collection came back as “good”.
  2. 2016 Budget
    Master Collection potentially increasing assessments by $30. Cottage Collection to increase by $60 due to the irrigation system replacement.
  3. 2015 Tree Enhancement Update
    Landscape Committee, Management and Clay Erway meeting to discuss other hazardous trees that have not been identified for removal yet
